Quick summary
- Your emails have not been lost. They are still in Gmail because Notion Mail synced with Gmail in both directions.
- What only existed inside Notion Mail (drafts, scheduled emails, response templates, and automatic labeling rules) was deleted if you did not save it before September 21, according to Notion.
- Synced databases remain in Notion, but they stop updating. New emails no longer arrive in them.
- Still working the Gmail AI Connector, email blocks you already had on pages, and Notion agents with email tools through Gmail.
What happened
Notion announced on June 25, 2026 that it would shut down Notion Mail, the AI-powered email client it had launched in April 2025. The shutdown took place on September 22, about 17 months after launch, and affects all Notion plans.
The reason the company gave was that its AI agents had become capable enough that more and more users were delegating email to them: more than half of Notion Mail users were already managing their inbox without opening it. Notion said it would rather focus on agents that handle the inbox than maintain its own email client.
These were the dates given by Notion:
- From June 25: you could export data that existed only in Notion Mail.
- September 21: last day to save anything you wanted to keep.
- September 22: shutdown. Anything that had not been saved was permanently deleted.
- June 30: earlier deadline for those who had to meet regulatory requirements such as HIPAA.
What still works
According to Notion's help page, nothing changes if you were already using Notion agents for email or had connected Gmail or Outlook to Notion.
- Your emails: remain in Gmail, exactly where they were.
- Gmail AI Connector: lets you search Gmail and draft replies with Notion AI.
- Email blocks: those you had already added to Notion pages remain intact.
- Agent email tools (Gmail): agents that can read, draft, and send email through Gmail.
What is lost
There are two groups. The first is data that existed only inside Notion Mail and that Notion asked users to export before September 21:
- Drafts.
- Scheduled emails.
- Response templates (snippets).
- Automatic labeling instructions.
The second group consists of Notion Mail-specific features that, according to Notion, cannot be transferred to another application:
- How you had your inbox organized: custom views and sorting.
- Attachments to response templates.
- Reminders set on emails.
The gap it leaves behind: emails that used to arrive automatically in a database
Notion Mail could keep a Notion database synced with your emails, with filtered views on top. This is the feature most missed by people who used Notion as their work hub.
This is what Notion says about it: those databases and their views, including their filters, remain in your workspace, and already-synced emails remain accessible. But since September 22 new emails are no longer synced, so the views stop updating.
For the automatic labeling you had before, Notion suggests saving your instructions on a page and using a custom agent with access to Gmail. We have not seen Notion announce a direct replacement for database syncing, and we have not tested whether an agent can recreate it, so we do not assume that it can.
What to do this week
- Check Gmail. Open Gmail and confirm that your emails and labels are there. Nothing should be missing.
- Recreate your labeling rules. Gmail filters and labels handle much of the work without AI. If you want AI-powered labeling, Notion suggests a custom agent.
- Rebuild your response templates. If you did not export them, you will have to recreate them. Gmail has its own templates.
- Decide what to do with your synced databases. You can keep them as a historical archive, knowing that they will no longer be populated automatically.
- Choose how to get emails into Notion from now on. It depends on what you used Notion Mail for. We explain it in the Notion Mail alternatives.
Frequently asked questions
Have I lost my emails?
No. Your email history lives in Gmail and is not affected. What was deleted was the data that existed only inside Notion Mail.
Can I still use Notion AI with Gmail?
Yes. According to Notion, the Gmail AI Connector works independently of the Notion Mail application and lets you search Gmail and draft replies.
Can I recover what Notion Mail deleted?
Notion said that anything not saved before the shutdown would be permanently deleted. If you think you still have something that was not exported, contact Notion support as soon as possible. We cannot guarantee that it can be recovered.
What if I need emails to arrive in Notion automatically?
There are forwarding and automation tools that can do this, and Notion recommends its agents. We compare the options and their limitations in the Notion Mail alternatives.
Where MailNotes fits
MailNotes does not replace Notion Mail: it is not an email client and does not sync your inbox. It is a Chrome extension that saves the emails you choose to Notion, with a summary, tasks, key details, and the contents of PDF attachments, already organized into your database properties.
This is a design choice, not a shortcoming. Of all the emails that arrive, only a few deserve a place in Notion. A database that receives everything fills up with notifications and newsletters, and you end up filtering it to find what matters. One that receives only what you choose stays useful.
If your workflow was “important emails end up in Notion,” it may work for you. If you needed a complete archive of everything that arrives, see the other options in the alternatives guide. And if you want to try it, you have the step-by-step tutorial.
